Virtual Tour of the PHHP Network

(Faculty/Staff/Student Tech Orientation)

Note: As the college migrates from Novell to Microsoft this page will become less accurate. We will update the information as time allows.

Welcome to the College of Public Health and Health Professions. If you have already been working here for some time you may know a good amount of this already, but you will likely learn some very useful new things as well. If you are a new employee, I'm sure you've had your fill of reading, but this stuff is actually very useful.

In order to let you get through this as fast as possible, we have separated the information into two sections.

Basic - This covers the most basic and critical of procedures, locations, and techniques for using the workstations and network within the college. After reading through this section, you should be able to get around our network comfortably and begin working.

Complete - This covers some of the less known, but non-the-less very important information about the PHHP network. This section is not required to get started on our network, but it should be read at some point.


Basic

Accounts
When you start working at the University of Florida, you are instructed to get a Gatorlink account. This will resemble username@ufl.edu and allow you to access the majority of internet services provided by UF: UF WebMail, ISIS, myUFL, etc.. In addition to the Gatorlink account you are also assigned a College of Public Health and Health Professions account which will resemble username@phhp.ufl.edu. This account will allow you to login to workstations on the PHHP network, GroupWise, and to the PHHP WebAccess. These two accounts, though both related to working at the college and will share the same username, will not have the same password. The passwords and password expiration dates can be (and likely will be) different for each account.

Login
If you have not logged in yet, you should be informed of your PHHP account name and password by your supervisor. When you first login you will be prompted to change your password from the temporary password you logged in with. This account is different from your Gatorlink account (the account you use to log into myUFL). You will be able to log into any PHHP workstation with this account and have access to the programs, and files associated with you (this is explained further below).

GroupWise

GroupWise
Novell GroupWise is the e-mail and scheduling program for the college. GroupWise can be installed on home machines and laptops. It also has a web interface that can be accessed from anywhere at: http://webmail.phhp.ufl.edu

The e-mail message size limit is 20mb (attachment included), and some types of attachments are banned. Read the complete GroupWise Usage Policy


Home (W) Drive

Home (W) Drive
This is a network delivered drive, meaning it is accessible whenever you log onto the PHHP network. Your username will precede the drive letter on this drive. You should save all important documents (if not ALL documents) somewhere in either the Home (W) Drive or the Share (S) Drive. These drives are backed up nightly and keep your documents safe in case of workstation failure. The "data" folder is where you should keep the files you create. Placing your data within the "data" folder keeps it consistent for us in the event your data needs to be backed up or transferred. The "gwarc" is a folder for GroupWise archiving and should NOT be deleted. The "public.www" folder is where you can create a personal web site. Any file placed within this folder is accessible online at http://www.phhp.ufl.edu/~username/. For example, the user "jdoe" could view his/her files at http://www.phhp.ufl.edu/~jdoe/.

The Home Drive has a size limit, but it can be increased by request when necessary. There is NO backup on any files on the C Drive, and we are not responsible for data loss if it is located on the C Drive. MP3s, movies, image collections, and/or any downloaded software is NOT to be stored on any network drive unless it is work related.

Share (S) Drive

Share (S) Drive
This too is a network delivered drive where you can put files that, as the name suggests, are shared amongst those with similar access. For example: if you work for the deans office, you will see a DO folder in the Share (S) Drive, if you work for Physical Therapy, will see a PT folder in the Share (S) Drive. Since this is a network drive, it will be accessable.from any computer on the PHHP network. Also be aware that the files on the Share Drive can be opened, edited, renamed, and deleted by any other user that has access to the specific location.

Users can be assigned and denied rights to certain folders as needed. New folders can also be created for joint projects within the Share Drive by request.

Locking your Workstation and Logging Off
Whenever you leave your computer while you are logged in, you should lock your workstation by pressing Ctrl + Alt + Del then clicking "Lock Workstation" or press enter. This is to keep your data as secure as possible. When you leave your computer for the night, please shutdown AND restart.

Our web site contains a great wealth of walkthroughs on common computer issues that can be fixed easily. We also have computer use policies, information about purchasing computer hardware, and other tech related subjects. It is a good idea to quickly scan the IT web site before you contact us with an e-mail. If you find a problem with any PHHP related web sites, contact the PHHP Webmaster at webmaster@phhp.ufl.edu.

IT Trouble Ticketing System
Our trouble ticketing system allows you to make a request and track its progress through to completion. E-mail support@phhp.ufl.edu to request service, report an issue, or just to say hi. This will automatically create a ticket in our system from your e-mail. At ticket completetion a notice will be sent to the ticket requestor notifying him/her the ticket has been completed. Responding to this ticket will reopen the ticket in our system.


Complete
Application Explorer

Application Explorer
This folder is located on your desktop and can significantly assist you with application installation and repair. Double click Application Explorer > [All] and you will see a large group of icons that have application names. Double clicking the icon will run the install program or application. If a program is already installed, right clicking on the icon for the program and choosing Verify will verify that it is installed properly.

Instant Messenger Services
Upon request, we can provide you with the instant messaging program GAIM to access AOL, Yahoo, ICQ, and Jabber instant messenger protocols. GAIM allows you to use one or more of these protocols simultaneously. We can also setup GAIM to use the UF IM service using your gatorlink username and password. This allows secure, encrypted instant messenging for HIPAA compliant IM.

Wireless
The HPNP building and about 1/2 of the Health Science Center are setup for wireless service. In order to use the wireless services you need to bring your laptop or PDA (that is 802.11b capable) to our office for an initial setup.

PDAs
If you are coming into the college with a Palm OS PDA of your own, you have the option to have us setup your device to synchronize with the GroupWise address book, and calendar.

Security We Provide
McAfee Virus Scan, Automatic Windows Updates, nightly data backups on network drives, limited simultaneous logins.
