Instructions to Add Shared Departmental Calendar/Public folder to Outlook

Instructions demonstrated in Outlook 2016, but should be similar in other versions.

If using the full Outlook client, follow these instructions.

  1. Click the three dots in the bottom left of the Outlook window.
  2. Choose Folders.
  3. Scroll the left column until you see Public Folders.
  4. Click the arrow to the left to expand Public Folders.
  5. Click to expand All Public Folders.
  6. Scroll down to find PHHP and expand it.
  7. Scroll down to the department you are looking for and expand it.
  8. Scroll down to find the calendar you want and click to view it.

Now let’s create a shortcut…

  1. Right-click on the selected calendar and choose Add to Favorites… (the Add to Favorites dialog box appears.)
  2. Give the folder a name if you choose.
  3. Click the Add button.
  4. Click the Calendar icon in the bottom left of the Outlook window.
  5. Scroll to find Other Calendars in the left column.
  6. Click the check next to the added calendar, this will turn the calendar on/off from the view on the right.

If using the OWA client through mail.ufl.edu, the process adds the calendar directly to your favorites and is a little different.

  1. Log in to mail.ufl.edu with Gatorlink credentials.
  2. In the Mail tab (not Calendar), right-click on Favorites
  3. Click Add public folder to favorites
  4. Scroll down to find PHHP and expand it.
  5. Scroll down to the department you are looking for and expand it.
  6. Scroll down to find the calendar you want and click to select it.
  7. At the top of the window click the a star icon beside Add to favorites.
  8. Exit the public folder screen and the shared calendar will be in your Other Calendars in the Calendar tab.
